The problem

Most delays happen between people.

A recruiter finishes interviews, HR asks the candidate for documents, the candidate replies in pieces, and someone retypes it all. Each handoff is a chance for details to go missing.

From recruiter to HR

The decision and the reasoning behind it travel by chat or memory.

From HR to candidate

Requests for documents go out one message at a time.

From candidate to HR record

Replies arrive in pieces and are copied into files by hand.

The workflow

Nine steps, one record.

Every step adds to the same candidate record, so the next person starts with everything the last one collected.

  1. Stage 1. Add and interview

    Step 1: Add the candidate

Who: HR or recruiterManual, optional AI
    What Hyper does

Creates a candidate record with contact details, source, referrer and a PDF resume, and checks for possible duplicates. If you turn on the optional AI resume intake, Hyper suggests the contact fields from the resume for HR to check.

    What happens next

The candidate appears in the pipeline, ready for an interview round.

  2. Stage 1. Add and interview

    Step 2: Schedule interviews

    Who: HRManual
    What Hyper does

Records each round as online or in person, with the interviewer and location, then marks attendance as came, did not come or rescheduled.

    What happens next

Interviewers can record feedback for the rounds the candidate attended.

  3. Stage 1. Add and interview

    Step 3: Record written feedback

    Who: Interviewer or HRManual
    What Hyper does

Stores technical, communication and overall assessments, strengths, areas to develop and a recommendation to select, hold or reject. An audio recording can be attached.

    What happens next

Everything sits on the candidate timeline, ready for the decision.

  4. Stage 2. Decide

    Step 4: Decide

    Who: HR with edit rightsManual
    What Hyper does

Marks the candidate as selected, or as rejected with a reason that stays internal. The note the candidate sees stays neutral, and a selection can be undone.

    What happens next

Nothing is sent to the candidate yet. HR moves them to training or active staff and prepares the invitation.

  5. Stage 3. Invite

Step 5: Send the onboarding link

Who: HRHR action, email sent automatically
    What Hyper does

Issues a link for this one candidate that stays valid for 24 hours. When HR invites from the onboarding module, Hyper prepares a trainee offer letter and emails the invitation through your connected email workflow. HR can also open WhatsApp with the message prepared and send it.

    What happens next

HR sees whether the email went out. A reissued link replaces the old one and sends a Slack alert if Slack is connected.

  6. Stage 4. Submit and review

Step 6: The candidate completes three stages

    Who: CandidateSelf service
    What Hyper does

Personal details; academic and career details, including a shift from the options HR assigned; then identity, bank details and documents, with ID photos, a resume PDF and a drawn signature. Each stage is checked and saved before the next one opens.

    What happens next

Submitting closes the link, sets the record to pending review and sends a Slack alert if Slack is connected.

  7. Stage 4. Submit and review

Step 7: HR reviews the submission

    Who: HR with approval rightsManual
    What Hyper does

HR can correct details, then approve, reject or request changes. A change request lists the exact fields to fix, with a note for the candidate.

    What happens next

Approval creates the employee record with an employee ID and salary components. A change request lets the candidate reopen the form with earlier answers kept.

  8. Stage 5. Letters and records

Step 8: Generate letters and documents

    Who: HRManual
    What Hyper does

Generates the appointment letter and other documents from versioned templates filled with the employee record, and can email a link to them through your email workflow.

    What happens next

Once a letter is signed outside Hyper, HR uploads the signed PDF beside the original in the employee vault.

  9. Stage 5. Letters and records

Step 9: Manage the employee over time

    Who: HRManual
    What Hyper does

Extends training with a reason, assigns assets by serial number, issues warning letters, and records exits with a date, a reason and an optional relieving letter.

    What happens next

Former employees keep their history and can be rehired as active staff or as trainees.

How it works

Frequently asked questions

Questions about the order of steps and who does what.

What happens if the candidate does not finish within 24 hours?

The link stops working and the candidate sees an expiry message. HR issues a fresh link, which replaces the old one. Stages they already saved are kept.

Can a candidate change their answers after submitting?

Only if HR requests changes. The candidate then reopens the form with earlier answers filled in and submits again.

Who can approve a candidate?

Only users with approval permission. Viewers cannot approve or edit anything.

Is anything sent automatically?

When HR invites a candidate from the onboarding module, Hyper emails the invitation through your connected email workflow. Slack alerts are automatic once Slack is connected. Everything else is a deliberate action by a person.

Can we skip recruitment and only use onboarding?

Yes. HR can invite a candidate directly from the onboarding module without recording interviews in Hyper first.
